Booking a meeting room with Hubble On-Demand is straightforward and hassle-free. By following these tips—planning ahead, selecting the right space, and making the most of the platform’s features—you can ensure a smooth and productive meeting experience every time.
1. Plan Ahead for Busy Days
Meeting rooms are often in high demand, especially on peak days (Tuesdays, Wednesdays, and Thursdays). You can request meeting room space up to 2pm the day before your booking date, but to avoid last-minute stress, we recommend planning and booking your meeting room well in advance where possible.
2. Choose the Right Size and Facilities
Different meetings require different setups, so make sure to pick the meeting room that fits your needs. Are you hosting a large team meeting or a more intimate discussion with a few colleagues? Use the filters on the meeting room search page to find rooms with the appropriate capacity, and make sure to include any required amenities (e.g., screens, whiteboards, conference call facilities) in the section on the request page. Being specific helps the venue prepare the room to meet your needs and avoids potential issues on the day of the meeting!
3. Use Search Filters to Your Advantage
You can also use the filters on the meeting room search page to narrow down your options based on location and budget. If you need to make a booking in a specific area, such as near transport links or in a certain borough, the location filter will save you time.
4. Check Cancellation Policies
Plans can change, and it’s important to be aware of each venue’s cancellation policy before finalising your booking. Meeting room bookings must be cancelled at least two full business days before the booking to be eligible for a refund; exceptions are Fora (Formerly TOG) and The Space, who require cancellations at least 7 full business days prior to the booking to be eligible for a refund.
